How Applicant Tracking Systems parse your resume — and the 11 formatting rules that get you past the filter every time.

Over 90% of Fortune 500 companies and most mid-sized employers filter resumes through Applicant Tracking Systems. Here's what those systems actually check, and how to build a resume that sails through them without looking like a plain text file.

What an ATS actually does

An ATS parses your PDF into fields (name, email, jobs, dates, skills), scores it against the job description keywords, and ranks it in a queue for a recruiter. It doesn't 'reject' you — it deprioritizes you until nobody clicks past page 3.

The 11 rules

  • Use a single-column layout. Two-column resumes confuse most parsers.
  • Standard section headings: 'Experience', 'Education', 'Skills'. Not 'My Journey'.
  • One font — Inter, Arial, or Calibri. No script fonts.
  • Body text 10–11pt, headings 12–14pt.
  • Save as PDF unless the posting says Word.
  • Skip images, icons, and text inside graphics — ATS can't read them.
  • Skip headers and footers — the fields sometimes vanish during parsing.
  • Spell out acronyms once: 'Search Engine Optimization (SEO)'.
  • Use exact keywords from the posting — don't paraphrase 'JavaScript' as 'JS'.
  • Dates in MM/YYYY format, consistent across every job.
  • Filename: 'Firstname Lastname Resume.pdf'. Nothing weirder.

The keyword mirror trick

Paste the job description into a word cloud tool. The 8–10 biggest words are your target keywords. If they're missing from your resume, add them (truthfully) to skills or bullets.

FAQ

Do ATS reject resumes with photos?

Most modern ATS ignore the photo rather than reject the file, but a few older systems fail to parse the surrounding text. In the US market, safer to omit.

Is a two-column resume really that bad?

Newer parsers handle them, older ones don't. If you're applying to enterprise employers, stick to single-column. Startups usually don't care.
